Job title: Administrative & Development Associate 

Reports To: Administrative Manager

Status: Salaried with benefits or part-time 

Location: SVBC’s office is in San Jose, CA - one day a week all staff are required to be in the office.

Silicon Valley Bicycle Coalition (SVBC) is a non-profit membership-based organization that seeks to create a healthy community, environment, and economy through bicycling for people who live, work, or play in San Mateo and Santa Clara Counties. We have a goal of 10% of trips taken by bicycle by 2025.

This position supports the Administrative Manager and Development Director with various administrative tasks. While the organization is small, consisting of 15 regular employees and 17 part-time seasonal employees, it is more complicated than one might expect with many funding streams, lots of contracts, and several fiscally sponsored projects. The role has lots of opportunity for growth. We are also open to considering making this position two part-time positions so if you have experience in development or admin but aren’t up for 40 hours a week, we’re still interested in exploring different ways of finding the best fit(s) for these roles. We also want to make it really clear how important these roles are, that the folks who do these jobs are the backbone of an organization, tending to lots of frustrating pieces of work so that the rest of the staff can excel at their jobs. 

A good fit for this position is:

  • Someone with accounting and/or human resources experience, preferably in nonprofit or someone interested in learning

  • Someone with experience or interest in donor development and/or grants administration

  • Someone who is obsessively organized, detail-oriented, and can meet deadlines

  • Someone who is comfortable with large datasets, pulling Salesforce reports, or using other CRM tools

  • Can handle multiple demands, keeps on top of random projects with differing timelines, and doesn’t get flustered by the pressures associated with the above. 

  • Okay with a whole lot of manual grunt work (coding income for the accountant, making copies of checks, waiting patiently on hold with the bank…) 

  • Tech-savvy and ready to help the staff best utilize tools such as Box, Salesforce, and Google Workspace

  • Gets along with a freewheeling staff that is tight-knit and loves, passionately, bicycles. 

  • Someone who can command the respect of a staff that they will need to keep organized.

General, Accounting & Human Resources

  • Weekly bank deposit

  • Digital and paper filing, answer & route phone calls/voicemails, pick up and filter incoming mail, keep office supplied stocked

  • Paychex Payroll & HRIS support including timesheets review, new hire set-up, annual open enrollment support

Facilities

  • Coordinate office cleaning, yard maintenance, recycling & compost management

  • Supports virtual and physical workspace that is organized and complies with established protocols.

  • Oversees and coordinates final touches on our move to this new office (an old frat house.)

Development

  • Lead our efforts to engage and grow our base of individual supporters

  • Manage the day-to-day tasks associated with individual donations including:

    • Processing employee matched and payroll donations and checks;

    • Coordinating staff in monthly process of emailing expired members; and

    • Managing the process for engaging with mid-level and major donors 

  • Assist Development Director in managing the bi-monthly activities of our Gratitude Committee – a team of volunteers that help cultivate major donors through VIP events

  • Run SVBC’s annual Spring Membership Drive

  • Work with the Team to develop our online and social media presence to clearly communicate the benefits of supporting the bike movement and SVBC.

  • Support the Development and Engagement Directors in implementing a multi-year strategy for growing our base of supporters. 

  • Support the Development team in regularly reporting on key performance indicators in org-wide dashboards and quarterly board reports.

  • Support the rollout of the organization’s newly adopted strategic plan in 2022

On any given day, this person may be expected to:

  • Follow up on unpaid invoices

  • Dropping everything in order to tend to a brick that was thrown through the window

  • Pick up the mail from the post office

  • Order food for the night’s board meeting and oversee the logistics for the meeting

  • Enter invoicing tasks into Salesforce

  • Nag colleagues to get in their timesheets

  • Take the hand towels home to wash

  • Scold staff for leaving food in the fridge too long

  • Figure out why the internet is down and get it working again as quickly as possible

Salary and Benefits: 

Commensurate with experience, starting at $59,000. Full-time, exempt position includes a competitive benefits package including vacation, health insurance, and 401k.
